Remote Work: The Essential Tools Every Business Needs

The New Reality Is Here to Stay

March 2020 changed everything. Overnight, millions of businesses had to operate remotely. Many improvised. Some did it well.

Now, months later, it is clear: remote work is not temporary. It is the new normal.

The Essential Technology Stack

Communication

For chat: Slack or Microsoft Teams

  • Channels organised by project/team
  • Integration with other tools
  • Searchable history

For video calls: Zoom, Google Meet, Teams

  • Scheduled and spontaneous meetings
  • Recording for future reference
  • Screen sharing

Project Management

For small teams: Trello, Notion

  • Visual and easy to use
  • Gentle learning curve

For medium-sized teams: Asana, Monday.com

  • More structure
  • Better reporting

Storage

Google Drive or OneDrive

  • Files accessible from anywhere
  • Real-time collaboration
  • Automatic versioning

Document Signing

DocuSign or HelloSign

  • Contracts without a printer
  • Legally valid
  • Status tracking

Golden Rules for Remote Teams

1. Overcommunicate

Remote work lacks informal corridor conversations. Communication must be explicit and intentional.

2. Defined Hours

Remote work does not mean 24/7 availability. Define clear hours and respect them.

3. Meetings with a Purpose

Every meeting should have an agenda and an expected outcome. Otherwise, it could probably be an email.

4. Trust by Default

Micromanagement does not work remotely. Measure results, not hours online.

Mistakes I See Constantly

❌ Too many meetings (Zoom fatigue is real) ❌ Not documenting agreements ❌ Mixing channels (work on personal WhatsApp) ❌ Not setting clear expectations
