The Business Software Maze
ERP, CRM, WMS, TMS, HRM, SCM... the acronyms are endless. And every salesperson will tell you their software is exactly what you need.
Spoiler: it probably is not.
Understanding the Categories
ERP (Enterprise Resource Planning)
What it does: Integrates all business processes Who it is for: Businesses with complex operations Examples: SAP, Oracle, Odoo
CRM (Customer Relationship Management)
What it does: Manages customer relationships Who it is for: Any business that sells Examples: Salesforce, HubSpot, Pipedrive
WMS (Warehouse Management System)
What it does: Manages inventory and warehousing Who it is for: Businesses with physical inventory Examples: Fishbowl, inFlow
HRM (Human Resource Management)
What it does: Manages employees and payroll Who it is for: Businesses with 10+ employees Examples: BambooHR, Gusto
The Right Question
Do not ask "Which software do I need?"
Ask "Which problem do I want to solve?"
A real example:
- ❌ "I need an ERP"
- ✅ "I need to know which products I have in stock in real time"
The second question leads to more specific and probably more affordable solutions.
Decision Framework
Step 1: List your pain points
Which processes take the most time? Where are you losing money?
Step 2: Prioritise
You cannot solve everything at once. Choose the 3 most critical pain points.
Step 3: Research options
For each pain point, research 3–5 options. Read reviews and request demos.
Step 4: Test
Most offer free trials. Use them with real data.
Step 5: Start small
Implement with a small team before the full rollout.
Quick Decision Table
| If your pain point is... | Consider... | |--------------------------|-------------| | Losing leads | CRM | | Not knowing what is in stock | WMS or ERP | | A chaotic sales process | CRM | | Manual invoicing | ERP or accounting software | | Disorganised employees | Project management | | Complex payroll | HRM |
Costly Mistakes
❌ Buying software you will not use ❌ Choosing by price without considering implementation ❌ Ignoring the learning curve ❌ Not considering integrations
My Recommendation for SMEs
Start simple:
- Google Workspace for collaboration
- A basic CRM for sales
- Accounting software for finances
Add complexity only when you need it.
Not sure which software you need? Let's assess it together.
